Maintenance Scheduling Procedure
Scheduling Maintenance Work
Break work should be scheduled in the classmaint calendar (Corporate Time, User Calendar, name = Classroom Maintenance Schedule).
How to insert information into "classmaint."
- CT red flag = University Notices (such as First Day of Classes, Break time with No Classes, etc.)
- CT blue flag = staff's personal notices (such as Day Off, "Light Duty,"). Personal notices communicate anything that may effect your ability to take part in scheduled maintenance.
- CT Meeting = Scheduled work inside a classroom or lab (such as hardware replacement, software installation, etc.)
- Add the meeting to any staff member's personal calendar if they are also taking part in the maintenance event.
- In the details section, describe what work is being done and list what room(s) it is being done in.
Procedure for adding meetings and notices to classmaint:
- Insert the meeting or notice in your own calendar.
- Add Classroom as another meeting attendee.
- Add any other staff member taking part in the work as a meeting attendee.
Scheduling Special Work (outside planned maintenance).
Break work involving multiple groups (DMS, Operations, Unix, and Systems Integration) should be scheduled at least 1 week in advance and a meeting should take place between intrested parties to coordinate (if needed). If the work is outside normal maintenance procedures (and does not have written procedures) then it should be scheduled at least 2 weeks in advance when possible.
- Insert the maintenance event into CT using the procedure above.
- Email managers of the interested groups letting them know what maintenace event you entered, what staff members you want to involve, and (if needed) schedule a meeting to coordinate. Meetings should only need to occur for maintenance events that do not have written procedures.
- Once management agrees, notify all staff members taking part in the maintenance event by adding them to the original calendar event, and emailing them.
